We have a great role as Community and Events Assistant at Gamma to support our busy events calendar and provide support to our community management and charity forum.

What you’ll be doing:

  • Assist with the administration of event project plans, keeping tasks up-to-date and information logged on a project management system.
  • Venue finding and reservations.
  • Work with suppliers (including but not limited to) venues, couriers, catering, promotional good suppliers, etc to make event bookings and place orders.
  • Raise purchase orders and ensure all invoices are passed over to the purchase ledger team.
  • Organise logistics for staff, event kit and customers/suppliers, which include shipping, travel, accommodation, event set up.
  • Assist with exhibition preparations.
  • Work closely with the wider marketing and sales team to ensure that the appropriate pre-event marketing activities take place.  For example, providing relevant event and venue information, access/ticketing instructions and directions to enable external invitations to be created.
  • On-the-day event hospitality, including meeting and greeting customers, staff and suppliers at registration and being on hand to help answer questions.
  • To assist Gamma’s Charity Forum with administration and activity planning.
  • Working closely with the Events Manager to support various teams across Gamma in their delivery of online events and webinars.
  • Ordering and keeping stock of Gamma’s promotional merchandise across the business and in the Newbury office.

  • A great communicator! Strong written and verbal skills
  • Highly organised – able to juggle tasks and meet deadlines
  • Strong attention to detail
  • Administration experience highly desirable
  • Proactive and a self-starter – our team are in different offices so the ability to work independently is critical
  • A logical, common-sense approach to work and tasks

A few things to note ✨

  • This role will be hybrid from our Newbury office
  • There is travel required in the role including some overnight stays
